    Responsibilities

    We are looking for a Customer Operations and Services Coordinator to manage the entire order processing cycle and support our customer service and business development goals. The COS Coordinator will act as a liaison between our customers & sales persons and all internal Califia departments affecting the order processing and customer service cycle.

     

    Order Management
    o Own and Manage the order processing cycle
        Order retrieval/receipt and acknowledgement
        Verify accurate pricing and promotional allowances
        Process order in ERP (Ross) accurately and in a timely manner
        Resolve order discrepancies via coordination with Customer, Sales Person, Production, Warehouse and Logistics

    o Act as a Vendor Agent via Customer portals to:

          Authorize new items
          Acknowledge, revise and confirm customer orders
          Verify freight and shipping status
          Verify Invoices submission and any other customer requirements as needed

    o Research and reconcile open orders, shipping discrepancies and deduction authorization with Accounts Receivable to ensure proper invoicing of the order

    o Handle service complaints, including shortages, errors in shipping, lost shipments, delivery issues and any other service complaints submitted by customers

     

    Sales Support
    o Assist Sales Person with customer set-up and maintenance
    o Set up new accounts/customers in ERP (Ross)
    o Provide technical and administrative product information (order guidelines)
    o Liaise with Production Planning, Demand Planning and Warehouse to monitor inventory vs. sales


    Technical Support Functions
    o Own and manage EDI set-up and updates as needed by customer
    o Own and manage price list (code) creation and set up by customer in ERP (Ross)
    o Able to generate individual price lists by customer
    o Have a general understanding of ERP (Ross) System in relation to order processing functions and how they affect order management, production, production planning, demand planning, shipping and invoicing
    o Own and manage all Customer Operations & Services processes, forms, tracking logs, schedules and any other technical support functions as needed

     

    Reporting Support Functions
    o Manage Customer Operations & Services dashboard and have a general understanding of Customer Operations & Services metrics
    o General understanding of Califia Weekly Sales Report
    o Support any other reporting functions as needed

    Qualifications

    o 4-year degree or equivalent work experience

    o Demonstrate ability to lead and manage workload with minimal supervision

    o Excellent analytical, problem solving and organizational skills

    o Ability to work independently and handle multiple projects at once

    o Exceptional communication skills

    o Customer service experience a plus
