Overview

As Califia Farms’ Office Coordinator, you’ll be the primary office representative for the Califia Collaboration Center located in the Arts District in Los Angeles. This in-person role is present each weekday to support the Califia team by building a welcoming, collaborative and inclusive environment through office activities and by ensuring efficient office services. The work schedule is Monday – Friday, 8:30 – 5:00pm. Should be available for the occasional need to come in earlier or stay later, as requested.

Responsibilities

  • Cover the front desk during the Collaboration Center’s business hours and be an on-site point of contact, easily located at the reception area. Greet employees and visitors with a professional and welcoming demeanor.
  • Maintain and develop front desk procedures, including ordering and maintaining of office supplies, while keeping all common office spaces orderly and organized.
  • Manage the inbound and outbound mail/packages process and storage. Receive, sort, and process all mail.
  • Answer any questions from employees related to the company and/or the Califia Collaboration Center, including directory, directions, policies and procedures, etc.
  • Maintain, audit, and organize process for building access, parking, desk assignments and similar. Specifically includes issuing and managing security access cards and parking tags. Review invoices for accuracy as necessary.
  • Handle ordering of food from local restaurants, food delivery services, or caterers for monthly town hall meetings and for individual teams and events as requested. Assist in setup and smooth running of meals. Select and order ongoing daily snacks for office.
  • Arrange and coordinate with outside vendors for building repairs, maintenance, and upkeep. Ensure office details such as temperature, light, music levels and activations are appropriate.
  • Write and send email broadcasts related to office activities/information. Design creative PowerPoint slides and flyers as necessary.
  • Leverage MS Office tools to maintain monthly office budget and training tracking reports and learn tools for creating internal surveys and intranet updates
  • Assist in onboarding new hires by assembling their welcome packages; ordering nameplates, and ensuring desk setup procedures are properly handled.
  • Provide support with the set-up/tear-down of activities/events
  • Assist in ideation and execution of opportunities to connect employees with each other and build employee engagement
  • Know and explain office events/activities/procedures and Califia policies and procedures and communicate, inform, and update members on building issues.
  • Serve as a representative of the Human Resources team.
  • Support with any other company activities/initiatives as assigned.
  • Other duties as assigned.

 

Qualifications

  • Bachelor’s Degree preferred, but not required
  • Office administration experience in a fast-paced environment
  • Must have strong verbal and written communication skills
  • Must have strong interpersonal, organizational, and multitasking skills
  • Proficiency with MS Outlook, MS Word, MS Excel, MS PowerPoint
  • Must be a disciplined self-starter and demonstrate integrity, dependability, responsibility, work-ethic, self-awareness, and a positive attitude
  • Must be able to handle sensitive/confidential information with professionalism and tact

Salary: $27.00/hour
