In this role, you will be the critical link between suppliers, freight forwarders, customs brokers, and internal teams—owning the documentation flow, clearing shipments with CBP/FDA, and transforming complexity into clarity while anticipating risks before they become delays. This hybrid role works in the DTLA Arts District office Tuesday through Thursday.

Responsibilities

  • Handle, process, and store import/export documentation (bills of lading, commercial invoices, FDA Prior Notice, packing lists).
  • Ensure compliance with international trade regulations and customs requirements.
  • Coordinate with suppliers, freight forwarders, and customs brokers to ensure timely delivery of goods.
  • Proactively manage delays, temperature issues, or transit disruptions impacting ingredients.
  • Track and monitor shipment status to keep deliveries on schedule.
  • Partner with customs brokers for compliant, timely clearance with CBP and FDA.
  • Resolve issues or delays that arise during the international process.
  • Maintain accurate records of all international transactions and related documentation.
  • Communicate with internal departments to provide import updates and resolve discrepancies.
  • Negotiate freight charges and other logistics costs to optimize shipping budgets.
  • Handle inquiries/requests from regulatory authorities related to international shipments.
  • Ensure proper HTS classification and valuation for customs clearance.
  • Manage relationships with vendors and service providers to ensure quality and reliability.
  • Update planning team on warehousing needs by location.
  • Monitor that all needed FSVP documentation is obtained and filed for easy access.
  • Evaluate the right tool for a centralized documentation portal; set up and maintain it.
  • Track KPIs (clearance time, transit time, ingredient availability risks).
  • Provide regular updates to Supply Chain and Manufacturing teams.
  • Be available occasionally for evening/early-morning calls to accommodate other time zones.

Qualifications

  • 3+ years of experience in import coordination, preferably in food or beverage manufacturing.
  • Strong knowledge of U.S. import regulations, CBP requirements, and FDA Prior Notice.
  • Hands-on experience importing food ingredients or raw materials.
  • Familiarity with HTS classification, duties, and landed cost calculations.
  • Experience working with customs brokers, freight forwarders, and ingredient suppliers.
  • High attention to detail; ability to manage multiple ingredient shipments simultaneously.
  • Strong communication skills and proven cross-functional collaboration.
  • Proficiency in Excel, ERP, and Food Safety systems (TraceGains).
  • Familiarity with FSVP, organic imports, and allergen documentation.

 

 

The expected salary range for this position is between $28.00 - $29.00/hour based on a full-time schedule. Location, confirmed job-related skills and experience will be considered in setting the actual salary. As a full-time employee, you will be eligible to enroll in Califia’s employee benefits program. You may also be eligible to participate in the company’s bonus program which may be subject to change.
